Welcome to joinmailday.com (the "Site"), a website operated by MailDay LLC ("MailDay," "us," "our," and "we"). We are committed to maintaining robust privacy protections for our users. We provide the Site and services provided through the Site (the Site and services will be collectively referred to as the "Services"). Our Privacy Policy is designed to help you understand how we collect, use, and safeguard the information you provide to us and to assist you in making informed decisions when using our Services.
By accepting our Privacy Policy, you consent to our collection, storage, use, and disclosure of your personal information as described in this Privacy Policy.
Types of Data We Collect
We collect "Non-Personal Information" and "Personal Information." Non-Personal Information includes information that cannot be used to personally identify you, such as anonymous usage data, general demographic information, referring/exit pages and URLs, platform types, and number of clicks. "Personal Information" means data that allows someone to identify or contact you, including your name, address, telephone number, email address, as well as any other non-public information about you that is associated with or linked to any of the foregoing data.
Children's Privacy and COPPA Compliance
MailDay is a pen pal membership service for children ages 3–12. Our Services are directed to parents and legal guardians, not to children directly. We do not allow children to create accounts or submit information to us independently.
As part of providing our Services, we collect certain personal information about children with the verifiable consent of their parent or legal guardian. This collection is necessary to operate the pen pal matching service. Specifically, we collect:
- The child's first name and age (for matching purposes)
- The child's mailing address (for delivery of physical mail from MailDay and for pen pal correspondence)
- General interest information provided by the parent during enrollment (for matching purposes)
We comply with the Children's Online Privacy Protection Act ("COPPA"). If you are a parent or legal guardian and believe we have inadvertently collected information about your child without your consent, please contact us immediately at hello@joinmailday.com and we will delete that information promptly.
How we use children's information: A child's first name, age, and general interests are used solely to match them with an appropriate pen pal. A child's mailing address is shared with their matched pen pal family for the purpose of letter exchange. We do not use children's information for advertising, marketing, or any purpose beyond operating the matching and delivery service.
Pen pal address sharing: When two children are matched as pen pals, each family receives the other child's mailing address. By enrolling in MailDay, you consent to this address exchange as a necessary component of the pen pal service. You may request a rematch or cancellation at any time by emailing hello@joinmailday.com.
Retention: We retain children's information for as long as the membership is active. Upon cancellation, personal information about the child is deleted from our active systems within 30 days, except where retention is required by law.
Parents may review, update, or request deletion of their child's personal information at any time by contacting us at hello@joinmailday.com.
Information You Provide to Us
We collect Personal Information from the parent or legal guardian enrolling in our Services, including:
- First and last name, email address, and mailing address when you create an account
- Payment information processed by our payment processors (Shopify and ReCharge) — we do not store credit card information directly
- Information about your child or children, provided during the enrollment and matching process, as described above
- Communications you send us via email or through our contact channels
We are committed to keeping your email address confidential. We do not sell, rent, or lease our subscriber lists to third parties. In compliance with the CAN-SPAM Act, all emails from MailDay will clearly identify the sender and include an unsubscribe mechanism. You may opt out of promotional emails at any time by clicking the unsubscribe link in any email.
Information Collected via Technology
We may collect information provided by your browser when you use our Services, including referring URLs, browser type, device type, access time, and other non-identifying information. We use cookies and similar technologies to improve your experience and track aggregate usage patterns.
We may use third-party analytics services such as Google Analytics to understand how users interact with our Site. These services may use cookies to collect information such as pages visited, IP address, and referring site.
We may use social media pixels on our Site in compliance with the policies of applicable social media platforms.
Use of Your Personal Information
We use Personal Information to:

- Identify you as a member in our system

- Match your child with a pen pal
- Deliver monthly digital packs and any physical mailings

Use of Non-Personal Information
We use Non-Personal Information to improve our Services and understand usage trends. We may share aggregated, non-identifying information with partners or for analytical purposes. This Privacy Policy does not limit our use of Non-Personal Information.
Disclosure of Your Personal Information
We do not sell, rent, or lease your Personal Information. We may share your information as follows:
Third-Party Service Providers. We share information with service providers who help us operate our Services, including Shopify (checkout and billing), ReCharge (subscription management), Klaviyo (email communications), Resend (transactional email), and Cloudflare (file hosting). These providers are contractually required to use your information only to provide services to us.
Pen Pal Matching. As described above, each matched family receives the other child's first name and mailing address. No additional personal information is shared between families.
Legal Requirements. We may disclose Personal Information if required by law, in response to legal process, or to protect the rights and safety of MailDay, our members, or others.
Links to Third-Party Websites
Our Site may contain links to third-party websites. We are not responsible for the privacy practices of those sites. This Privacy Policy applies solely to information collected by MailDay through our Site and Services.
Your Rights Regarding Your Personal Information
You may opt out of marketing communications at any time by using the unsubscribe link in any email or by contacting us at hello@joinmailday.com.
You may request access to, correction of, or deletion of your Personal Information or your child's information by contacting us at hello@joinmailday.com. We will respond to verifiable requests within a reasonable time.
If you are within the European Union, you have rights under the General Data Protection Regulation (GDPR), including the right to access, rectify, erase, restrict, or port your data, and the right to withdraw consent. You may lodge a complaint with a supervisory authority. We retain your information until you request deletion, we cease operations, or retention is no longer necessary, whichever occurs first.
Security of Your Personal Information
We implement security measures designed to protect your information from unauthorized access, including encrypted data transmission and secure account authentication. However, no security system is impenetrable. By using our Services, you acknowledge and accept these inherent risks.
